Free Contractor Tools: Invoices, Estimates, Receipts & Calculators

Seven tools a working contractor actually uses, free and with no email gate: four document generators that produce real PDFs, and three calculators for the numbers behind them. Everything saves in your browser; nothing is uploaded.

  • Real PDF downloads, not print dialogs
  • Fillable PDF, Word and Excel templates too
  • Saves in your browser — nothing uploaded
  • Built by a working contractor

Templates by trade

Same generator, preloaded with realistic line items for your trade so you can start from something that already looks like your work.

What is in the toolbox?

Four document generators and three calculators. The generators share one business profile, so you enter your company details and logo once and every document carries them. The estimate converts to an invoice in one click, the receipt references the invoice it pays, and the change order feeds the next progress invoice.

  • Invoice generator: labor and materials, per-line sales tax, deposits already collected, balance due, payment instructions and a late-fee line.
  • Estimate generator: itemized scope, optional add-ons priced outside the total, a valid-until date, deposit terms and a signature block. Converts to an invoice.
  • Receipt generator: proof of payment with the method, the check number or last four, the invoice it applies to and the remaining balance, stamped PAID.
  • Change order generator: original contract total, prior change orders, this change (adds or credits), the revised total, schedule impact and both signatures.
  • Markup and margin calculator: what a markup actually earns you, and the markup you need for a target margin.
  • Hourly rate calculator: overhead, wages and billable hours turned into the rate you have to charge.
  • Late fee calculator: the fee on an overdue invoice from your rate and the days past due.

The invoice and estimate generators also come preloaded for specific trades, with realistic line items and trade-specific guidance: for example the plumbing invoice template and the HVAC estimate template. Every tool page links to the rest, and each one has fillable PDF, Word and Excel versions of the blank form if you would rather work offline.

Why are these free, with no signup?

Because the alternative is what the template mills do: put a Word file behind an email address, then spend the next year emailing you. When I started my restoration company I wanted a tool that would make a real invoice PDF from my phone in a driveway, with the deposit already subtracted and the tax handled per line, without creating an account. I could not find one, so we built it and put it here.

The honest business reason: TrustPro is a paid contractor CRM, and these tools are how we introduce it. After you download a document you will see one card offering the paid version, the estimate converts to an invoice the same way it does in the product, and the PDF carries a small "Powered by TrustPro" line in the footer that one click turns off. That is the whole pitch. If you never sign up, the tools keep working, and if you do, the pricing page says exactly what it costs.

Where does my information go?

Nowhere. Your business details, logo, the current draft of each document and the last number you used are saved in your own browser's local storage, on your device, so they are there the next time you open the page. The PDF is generated on your device too. Nothing you type is sent to us or to anyone else, which is also why clearing your browser data or switching to another phone starts you fresh: there is no account holding a copy.

Saved in this browser only
If you make documents from two devices, enter your business block on each one once. If you want the same records on every device, with customers, payments and QuickBooks Online sync, that is the paid product, not the free tools.

Who built these?

TrustPro is built by Keith Peiker, a working restoration contractor who grew his own company from zero to $500k+ in twelve months with SMS referral follow-up and no ad spend, and who has personally eaten enough bad invoices to have opinions about what goes on one. The guidance on each tool page is written in that voice: what to put on the document and why, where the rules vary by state, and where to check before you rely on them. Every legal or numeric claim is checked at its source and the sources are listed on the page.

The playbook behind the company is in how to get contractor referrals, and the rest of the story is on the about page. If a tool is wrong, missing something your trade needs, or produces a PDF that looks off on your device, tell us at support@trustpro.io and we will fix it.

FAQ

Are these contractor tools really free?

Yes. Every generator, every PDF it produces, every calculator and every fillable PDF, Word and Excel download on this site is free, with no account, no email address and no watermark. TrustPro is a paid contractor CRM and these tools are how we introduce it; they work whether or not you ever sign up.

Do I need to create an account or give an email address?

No. There is no signup, no email gate and no trial to start. Open the tool, fill in the form, download the PDF. The one thing we ask is nothing.

Where is my information stored?

In your own browser's local storage on your device: business details, logo, the current draft and the last document number. Nothing is uploaded to a server. Clearing your browser data or switching devices starts fresh because there is no account holding a copy.

Do the tools work on a phone?

Yes. On a phone the form comes first, the live preview sits below it, and a Download PDF button stays pinned to the bottom of the screen. The PDF opens in your phone's viewer and shares by text or email like any other file.

What formats can I download?

Each generator produces a real PDF of the document you filled in. Each tool page also offers the blank form as a fillable PDF, a Word document and an Excel spreadsheet for working offline or in your own software.

Are there versions for my trade?

The invoice and estimate generators have trade-specific pages for plumbing, HVAC, electrical, roofing, painting, landscaping, handyman, cleaning and construction, each preloaded with realistic line items and guidance for that trade. The generic generators work for any trade, and the "Start from an example" menu on every generator lets you load a sample for any of those trades.

Is the guidance on these pages legal or tax advice?

No. It is a working contractor's explanation of what goes on each document and why, with the rules that vary by state flagged and the sources listed. Sales tax on labor, deposit caps, lien notices and late-fee rules are set by your state; confirm them with your state's department of revenue, your licensing board or your own attorney or accountant before relying on them.
