A handyman invoice is a punch list with prices. The customer approved a list of tasks, so the invoice should be that same list with hours, rates and materials next to each one — not a single line that says "Labor." How to create a handyman invoice
- Add your business details
Company name, contact details and logo, plus your license number — or an honest line about your status where no license is required.
- Enter the customer and the property
Name, contact details and the job address, not just the billing address — a landlord's turnover is at the unit.
- Set the invoice number, date and terms
The number is prefilled and increments after each download; due on receipt is normal for small jobs. Name the job by the list: 'Rental turnover punch list — Unit 2'.
- Add one line per task, matching the list the customer approved
Each task as its own row with the hours and rate or a flat price, and your minimum charge shown when it applied.
- Itemize materials and the trip or supply run
Materials at your marked-up price as material rows with the Taxable flag set; the trip charge or supply run as its own row.
- Add the warranty, disposal and a photo reference
Your workmanship warranty and what it excludes, haul-away when you took anything with you, and a note that finished-work photos were texted.

What to include on a handyman invoice
What should a handyman invoice include?
The invoice should be the task list the customer approved, with time and money next to each task. When a property manager gets a one-line invoice for $765, they have to call you to work out what was done and in which unit. When they get eight lines that match the punch list they texted you, they approve it and move on.
Every line carries three things: the task, the time or the flat price, and a one-line detail of what the work involved — "two holes under 6 in., mesh patch, two coats, primed and touched up." That detail is what makes the number defensible six weeks later when a tenant complains about the paint match.
- Minimum charge. If a two-hour minimum applied, show the two hours and say "minimum" in the details rather than inflating a task's hours.
- Trip charge or supply run. Its own line — inside a labor line it looks like padding.
- Materials. Itemized or grouped as a lot with the receipts available. Note anything the customer supplied — that is what your warranty excludes.
- Disposal. Whatever left in your truck, with the transfer-station fee.
- Job address and unit. Landlords pay per property; make the match easy.
How do handymen price a job: hourly, flat rate, or per task?
Most independent handymen bill by the hour with a minimum, and quote a flat price only for tasks they have done fifty times. Both belong on the same invoice, and the generator handles both: an hourly task is qty 1.5 × unit "hr" × your rate; a flat task is qty 1 × unit "ea" × the price.
For a sense of the market, Housecall Pro's 2026 handyman price guide (updated July 2026) puts self-employed handymen at roughly $50–$80 per hour and franchise operations at $75–$125, with minimum service fees of $125–$200, trip fees of $30–$80 and material markups of 20%–50%. Thumbtack's price data (updated January 2026) reports a national average of $60–$75 per hour and describes the common two-hour minimum. Those are national ranges; your rate comes from your overhead and your billable hours, not from a guide — the hourly rate calculator does that math in two minutes.
On markup: show cost plus a separate markup line, or price the material at your marked-up rate and say so in your terms. Never show a marked-up price and then hand over a receipt for less with no explanation — the customer does not mind paying for the supply run; they mind feeling tricked.
Do handymen charge sales tax on labor?
It depends on your state, and often on whether the property is a home or a business — there is no national rule. Texas shows the split: the Comptroller's Publication 94-116 says "labor to repair, remodel, or restore residential real property is not taxable," while the total charge for repairing or remodeling nonresidential property — an office, a restaurant, a warehouse — is taxable. Other states tax repair labor broadly; some tax only the materials.
The mechanics are the same everywhere: labor and materials on separate lines so the taxable part can be taxed alone. Every line in the generator has a taxable checkbox, and a "tax labor too?" toggle flips them all for states that tax everything. Ask your state department of revenue which side of the line your work falls on before you guess.
Does a handyman need a license number on the invoice?
If you hold a license, print the number on every invoice; customers and property managers look for it, and some states require it on the contract. If you work under a small-job exemption, know exactly where the line sits — it moves, and the penalties for crossing it are not small.
California is the example most handymen have heard of. The Contractors State License Board's December 2024 release on AB 2622 explains that from January 1, 2025, an unlicensed person may complete projects up to $1,000 without a contractor's license — up from $500 — but only with no hired workers and no building permit. The $1,000 covers labor, materials and everything else on the project, an unlicensed person's advertising must say they are not licensed, and CSLB lists administrative fines up to $15,000 and jail up to six months for unlicensed contracting. The same release notes a down payment should not exceed 10 percent of the contract price.
Texas is the opposite case: no statewide handyman or general contractor license exists, and the Texas Department of Licensing and Regulation program list covers electricians and air conditioning contractors rather than handymen — though cities can require registration, and electrical or HVAC work still needs the licensed trade. Most states sit between those two: a dollar threshold, a permit trigger, or both. Check your licensing board before you print "licensed" or "unlicensed" on anything.
How do you get a handyman invoice paid the same day?
Send it from the driveway, while the customer's memory of the job is fresh. Finish, photograph each completed item, build the invoice on your phone, and text the PDF with the photos before you leave. Make it due on receipt — a $765 punch list on net-30 terms is a month of free credit to someone you met this morning, the argument in net 30 vs due on receipt — and give them a card link or Zelle so they can pay from the phone they are holding. Should a handyman invoice list every task separately?
Yes. List each task on its own line with its hours or flat price and a short detail of what the work involved. One line that says "Labor" invites a phone call from a property manager and a memory dispute from a homeowner; a line-by-line invoice that matches the approved punch list gets paid.
How do I show a two-hour minimum on a handyman invoice?
Bill the minimum hours on the task line — qty 2, unit hr — and write "two-hour minimum applied" in the details line. Do not stretch the task's actual time to hide the minimum. Customers accept a minimum they were told about; they dispute hours they know are wrong.
Do handymen charge sales tax on labor?
It depends on the state and sometimes on whether the property is residential or commercial. Texas, for example, does not tax labor to repair or remodel residential property but taxes the total charge on nonresidential work. Keep labor and materials on separate lines and confirm the rule with your state's department of revenue.
Does a handyman need a license to send an invoice?

What payment terms should a handyman use?
Due on receipt. Most handyman invoices are a few hundred dollars for work finished the same day, and small balances age badly. Send the invoice with photos before you leave, and give the customer a card link or another way to pay from their phone.
Can I invoice a property manager for several units on one invoice?
You can, but most property managers prefer one invoice per property so it can be charged to that owner. If you combine them, put the unit address in the details line of every task so the invoice can be split on their side.
