How to create an electrical invoice

1. Add your business and license number

   Company details and logo, plus the license number and any regulator notice your state requires on electrical paperwork.

2. Enter the customer and the job address

   Name, contact details and the property where the work was inspected if it differs from the billing address.

3. Set the invoice number, date and terms

   The number is prefilled and increments after each download; pick the terms and the due date fills itself. Name the job by the circuit or device: 'EV charger circuit — 50A, 240V dedicated, garage'.

4. Add per-device lines, hourly troubleshooting and panel work

   Outlets, switches and fixtures by count; troubleshooting by the hour with what was found in the details; panel or service work as a flat row with the amperage and breaker details.

5. Itemize materials with the Taxable flag set

   Cable, breakers, boxes and devices as material rows; untick Taxable on labor where your state does not tax it, and put the dispatch or service call fee on its own row.

6. Record the permit, inspection result and warranty split

   Permit number, inspection date and result in the notes, any utility coordination on service work, then your workmanship warranty and the manufacturer's on the devices.

7. Download the PDF and send it

   Download and text or email it once the inspection passes; the number bumps for the next job.

What to include on an electrical invoice

What has to be on an electrician's invoice?

In Texas the rule is written out. 16 TAC §73.51(f) says the electrical contractor's name, address, phone number and license number shall appear on all proposals, invoices and written contracts, together with this notice: 'Regulated by The Texas Department of Licensing and Regulation, P.O. Box 12157, Austin, Texas 78711, 1-800-803-9202, 512-463-6599; website: www.tdlr.texas.gov'. TDLR's compliance guide repeats it, and leaving it off is a listed violation. California's B&P §7030.5 requires the license number on every construction contract, bid and advertisement. Other states land somewhere between; your licensing board's site says where. In the generator, the License field prints under your business name and the regulator notice goes in the Terms box so it appears on every document.

Past the legal line, an electrical invoice is a permit record and a wiring record. The permit number and the inspection result with its date. The panel: amps, spaces, brand. Each circuit you added, its breaker size and the label you wrote in the directory. Device counts by type. A buyer's inspector, an insurance adjuster and the next electrician to open that panel will all read it, and each of them decides something about you based on whether it's there. Terms belong on it too: due on receipt for service calls, because net 30 on residential work is a month of credit you didn't mean to extend.

How do electricians price — hourly, per device, or flat?

Per device for the repeatable work, hourly for troubleshooting, flat for panels and service upgrades — most residential shops mix all three on one ticket. For a sense of the ranges, Housecall Pro's 2026 electrician pricing guide (updated July 2026) lists journeyman rates at $60–$90 an hour and master rates at $90–$100 or more, service call fees at $100–$200, outlet installation or replacement at $200–$300, switch installation at $85–$200, ceiling fans at $140–$350, a dedicated circuit at $570–$1,000, a panel upgrade at $1,200–$2,000 and an emergency surcharge of $100–$200 on top of standard rates, with a suggested 10–20% profit margin per job. Those are survey ranges from a software vendor. Yours come out of your own overhead and billable hours; the hourly rate calculator does that arithmetic.

• Per device: 'Duplex receptacle, replaced — tamper-resistant' with qty 6, unit 'ea'. One row per device type; the details line says the grade of device.
• Hourly: qty in hours, unit 'hr'. State your minimum and your rounding in the terms so the 1.25 hr line isn't a surprise.
• Flat: a panel change-out or a service upgrade as one labor row with the scope in the details, and the panel, meter base and wire as material rows underneath.
• Materials: wire by the linear foot, breakers by the each, conduit and fittings as a lot. Invoice at your sell price; the customer sees one number per part, not cost plus a percentage. The markup and margin calculator shows what a given markup actually earns you.
• Service call and emergency: separate rows, labeled, with the dispatch time on the emergency one.

Which permit and inspection lines go on the invoice?

Almost any circuit-level work is permitted somewhere, and the invoice should say so. Portland, Oregon's residential electrical permit page lists adding an outlet, adding a light fixture, installing an air conditioner and replacing a service panel as permit-required work — even when no building permit is needed — and says homeowners may do their own electrical work only if they own and live in the home, while contractors must be licensed with both the Construction Contractors Board and the Building Codes Division. Service upgrades need the panel amperage on the application, and the permit closes with rough-in, service and final inspections. Morgan Hill, California's EV charging permit page requires panel load calculations unless the main service is 200A or larger, and an electrical final. Your jurisdiction differs in the details, not the pattern.

For EV work the code adds a line of its own. NEC 2023 625.40 requires each outlet installed to supply EV equipment greater than 16 amperes or 120 volts to be on an individual branch circuit, with exceptions for load-management systems under 625.42. 'Dedicated 50A circuit per NEC 625.40' in the details is a sentence the inspector, the charger manufacturer's warranty desk and the customer's insurer all like to see.

• 'Electrical permit — City of ___, #____, final inspection passed [date]' as a row, kind 'Other'. Permit fees passed through at cost are commonly not taxed; confirm for your state.
• 'Load calculation' as its own row when the permit or the panel required one — it's real work and it's the document the AHJ asked for.
• 'Utility coordination — meter release / reconnect' on service upgrades.
• 'Inspection trip' if you bill the return visit separately; say so on the estimate first.

Do you charge sales tax on electrical labor?

Depends entirely on the state. Washington is the strict end: the Department of Revenue's custom construction guide says prime contractors must collect retail sales tax from the customer on the gross contract price — labor, materials, permits and subcontractors, without deducting costs — and that billing invoices must separately state the sales tax; writing 'tax included' does not satisfy the rule. Texas is the other end for residential repair work, where labor is exempt and only separately stated materials are taxed. The same panel upgrade is taxed on the whole ticket in one state and on the panel and wire alone in another.

Find your state's contractor guidance on the revenue department's site, then set the generator to match: the Taxable checkbox on each row, the 'Tax labor too?' switch when your state taxes the full contract, and the tax label field for the name your state uses. The sample electrical invoice taxes materials only; flip the switch if you're in a Washington-style state.
